Inventory Management

LDT Inventory System

Standalone physical-inventory counting and shrinkage reporting, with the same blind zone-counting process as the flagship ERP — syncs with your ERP or runs with a simple CSV import.

LDT Inventory System is a standalone physical-inventory and shrinkage-reporting platform for supermarkets and hypermarkets, built as a companion to Supermarket All-in-One (ERP & POS) but able to run completely on its own. It reproduces the ERP's full physical-inventory workflow — parameters, a frozen cut-off snapshot, zones, blind counting on Android handheld devices, an immutable first count, controlled corrections, validation, and finalization — in its own database, so you can run a full store count without disrupting live ERP operations. A read-only connection pulls your item master and expected stock straight from the ERP (or you import a CSV if you'd rather run it standalone), and every finalized session produces a full variance and shrinkage report, by quantity and by value, at cost and at retail.

The Challenge

Running a full physical inventory inside a live ERP ties up the system during the count, and most standalone counting tools don't enforce the discipline a real inventory needs: a frozen snapshot, genuinely blind counting with no system quantity visible to the counter, an immutable first count, and a controlled correction/recount trail before anything posts. Without that discipline, shrinkage numbers end up guessed rather than measured.

Our Solution

LDT Inventory System runs the count in its own database on its own schedule. Create an inventory (store, warehouse, date, cut-off, and scope — full store, a department, section, family, or selected items), generate a frozen snapshot of expected quantity, cost, and retail price per item, and split it into zones. Counters sign in on a registered Android device and count blind — no system quantity is ever sent to the device — with pack/case barcode multiplication, weighted-item decimals, and explicit zero confirmation; every scan is idempotent so offline queues and retries can never double-count. Once submitted, the first count is locked; a controller can only release a zone to correction, change quantities with a logged reason, or send it to recount. Validation computes variance per item, and finalization posts the result to a local adjustment ledger and produces an exportable shrinkage report.

Key Features

Blind Zone Counting (LDT App)

Counters sign in on a registered Android device and count with no system quantity ever shown — true blind counting, with offline queueing and idempotent submission so retries can never double-count.

Frozen Cut-off Snapshot

Generates a frozen snapshot of expected quantity, unit cost and unit retail per item at the cut-off moment, with stock re-pulled from the ERP automatically when the link is configured.

Auto + Bulk Zones

One zone is created automatically per section, with extra zones added singly or as a bulk range — so a full-store count can be organized in minutes.

Immutable First Count, Controlled Correction

The submitted first count can never be edited directly. A controller must explicitly release a zone to correction, and every quantity change is logged with the old value, new value, reason and user.

Variance & Shrinkage Reporting

Shrinkage and overage by quantity and by value, at both cost and retail, broken down by department and section, with top-shrinkage items and a store trend report across sessions.

ERP Sync or Standalone CSV

A read-only connection pulls hierarchy, items, pack barcodes, costs, prices and expected stock from the ERP — or run entirely standalone by importing items and stock from a CSV template.

Zone Print Reports (80mm & A4)

A printable "Zone First Count Report" per counted zone with report/batch numbers, cut-off, counter and device, numbered lines, totals, and signature boxes for counter, controller and supervisor.

Android Scanning App (APK)

A signed Android app, downloadable straight from the system, works with keyboard-wedge barcode scanners, confirms zeros explicitly, and flags unknown barcodes as evidence instead of silently skipping them.

Full Audit Trail

Zone status log, scan log, corrections log and inventory audit log — every step of every session is traceable to a user and a timestamp.

Role-Based Access

Administrator, Inventory Controller and Counter roles, each scoped to exactly what they need on the web and on the LDT app — with per-device activation codes and token revocation.

Benefits

Shrinkage You Can Trust

Blind counting plus an immutable first count means your shrinkage numbers reflect what's actually on the shelf — not what the count sheet was nudged toward.

Count Without Disrupting the ERP

A full physical inventory runs in its own database on its own schedule, so checkout, purchasing and stock movement in the live ERP are never paused for a count.

Faster, Organized Counts

Auto-generated zones, bulk zone ranges, and barcode-first scanning on handheld Android devices get a full-store count organized and moving in minutes, not hours of setup.

Works Standalone or Connected

Link it to the ERP for live item and stock sync, or run it completely standalone with a CSV import — the same disciplined counting process either way.

Evidence for Every Number

Every scan, correction, validation choice and finalization is logged and exportable, so shrinkage figures can be defended, audited and compared across stores and sessions.
